A shared phone may be enough for a small volume of enquiries. As orders and service requests grow, staff can lose context or miss an important update. A WhatsApp Business Platform implementation can connect approved messaging workflows to your systems, provided the business also plans who owns the conversations and what happens next.

THE PRACTICAL TAKEAWAY

Automate a useful customer journey with a clear response owner, rather than treating WhatsApp as a bulk contact list.

Choose one customer journey first

An order update, appointment reminder or warranty status notification is a useful starting point. Define the event, audience, message content and next action. For example, a service portal could send a status update and give the customer a clear route back to the support team.

Prepare the business and number

Confirm who controls your business account, the phone number and administrator access. Review the existing WhatsApp setup before planning onboarding or migration. If retaining Business App usage is important, check whether a supported coexistence route is available for the account and selected implementation.

Plan permissions and templates

WhatsApp requires recipient opt-in and respect for opt-out requests. Business-initiated messages use approved templates, and replies outside the customer service window also require approved templates. Prepare content around its intended purpose and check the current policy before launching.

Connect automation to the team

An automated message still needs an owner. Decide where incoming replies go, who handles exceptions and how a customer reaches a person. Shared inboxes, CRM connections and routing rules should be scoped according to your team’s process and the chosen platform.

Keep order and customer references connected to the conversation where appropriate. Restrict access to the people who need it, and avoid including unnecessary confidential information in notifications.

Review cost and quality together

Estimate the intended message mix, destination markets and volume, then confirm current platform and provider charges. Template approval, account eligibility and sending limits affect rollout. Start with a controlled group, review delivery and customer feedback, and expand once the workflow is working.
