Microsoft 365: review how your team works before renewing.

Use a renewal to check licences, business email, shared files and the setup your staff actually need.

A subscription renewal is a useful moment to check whether your software still fits your organisation. Staff roles change, people leave and teams adopt new ways of sharing files. Reviewing those changes before renewal can make the next subscription decision more deliberate.

THE PRACTICAL TAKEAWAY

Review users, ownership and migration needs before deciding what to renew or add.

Group users by their work

List who needs business email, desktop applications, browser-based tools or additional security capabilities. Check the current Microsoft plan comparison rather than assuming every user needs the same bundle. Confirm product availability and any separate requirements in the proposed quotation.

Check the existing tenant and ownership

Record the organisation’s tenant, domains, administrator contacts and current purchasing arrangement. Keep control of business administration within the organisation. If you are changing provider, review the existing subscription terms and transition process before ordering replacements.

Treat email migration as its own workstream

Moving email involves more than changing a DNS record. Inventory mailboxes, shared addresses, existing messages and the clients people use. Agree what will be migrated, the cutover sequence and how users will confirm access. Keep the old service available for the agreed verification period.

Plan files and staff access

Decide where shared business documents belong, how permissions are granted and how access is removed when someone leaves. Include multifactor authentication, recovery arrangements and clear administrator responsibility. Subscribing to a product does not itself configure these working practices.

Confirm the full commercial arrangement

Check licence quantity, subscription commitment, billing frequency, renewal date and the ability to change quantities under the selected terms. Request setup, migration and support as explicit items where needed. Keep the renewal record accessible to both your finance and IT contacts.
